Step-by-Step Process for the Six Nations Parks and Recreation Community Public Amenity Ideas and Proposals – How the Process Works

Step 1: Decide What You Want to Do

Are you:

  • simply sharing an idea or identifying a need, or

  • ready to bring forward a specific project for a new or improved amenity?

Your answer will determine which form you use.

Step 2: If You Are Sharing an Idea – Use the Amenity Suggestion Form

Use the Amenity Suggestion Form if you want to:

  • flag a need or gap in services
  • suggest a concept or improvement
  • share general thoughts about future amenities

What happens with suggestions:

  • Suggestions are reviewed by Parks & Recreation leadership.
  • They may inform future planning, priorities, and community engagement.
  • They do not start a project, funding, or land-use approval process.

Step 3: If You Are Proposing a Specific Project – Use the Amenity Proposal Form and Maintenance Plan Details Form

Use the Amenity Proposal Form and the Maintenance Plan Details form if you are ready to propose a new or upgraded permanent/semi-permanent amenity, such as a structure, feature, or installation.

Formal proposals must include:

  • Information about the project and location
  • Evidence of community support
  • A preliminary maintenance plan
  • Details about any grants, sponsorships, or funding being pursued

Parks & Recreation staff will:

    1    Review your submission for completeness.

    2    Evaluate it against safety, accessibility, strategic alignment, and long-term maintenance.

    3    Determine whether it can move forward for internal and Committee review.

Step 4: Review and Committee Process

For eligible proposals:

  • Parks & Recreation completes an internal evaluation.
  • A staff briefing is prepared, and the proposal may be scheduled for future Community Committee meeting.
  • The applicant may be asked to present the proposal at the meeting.
  • The proposal may then be supported by the community committee and referred to Full Council for a decision, sent back for revisions, or not approved.

Step 5: Decision and Next Steps

After the review:

  • Proposals that are supported may move forward to a partnership agreement and implementation planning.
  • Some proposals may require revisions and resubmission.
  • Proposals that are not approved may, in some cases, be revised and appealed to Council, in line with the policy.

Applicants will be notified of the outcome and any next steps through a preferred designated contact method.

Step 7: Submission

**Proposals submitted directly to Council/Committee are declined and redirected to PR (As per the Unsolicited Public Amenity Proposal Policy)**
